Position Overview:
The Operations Assistant at Capital City, LLC plays a vital role in ensuring efficient daily operations. This position requires a proactive individual skilled in organization, communication, and collaboration to support the team and contribute to the company's objectives.
Key Responsibilities:
As our Operations Assistant, you will be responsible for the following
- Records and Databases: Develop, revise, and uphold diverse records and databases, covering personnel information, financial data, and purchase orders.
- Office File Management: Ensure the organization and upkeep of essential office documents, including job files, vendor files, and other materials central to the company's operations.
- Wholesale and Corporate Coordination: Efficiently oversee wholesale and corporate inquiries, handle shipping quotes, and create Bill of Lading (BOL) documents.
- Customer Database Management: Preserve wholesale and corporate customer databases by inputting customer profiles and updates and ensure the preparation and distribution of monthly reports to our management team.

Order and Inventory Resolution: Resolve order and inventory challenges by conducting thorough data and history analysis, exploring alternative methods to fulfill orders, engaging with shipping providers, and promptly notifying both managers and customers.
- Leadership Support and Client Service: Provide outstanding leadership support and client service while fostering and nurturing strong relationships with our valued vendors.
Qualifications:
We are seeking candidates who possess the following qualifications
- 5+ years of proven experience in an office admin, operations assistant, or sales assistant role.
- Bachelor's degree or working experience in the related field.
- Proficiency in eCommerce platforms, MS Excel, and MS PowerPoint
- Strong organizational and multitasking skills.
- Excellent communication skills.
- Proficiency in database management and record-keeping.
- Problem-solving abilities and attention to detail.
- Basic knowledge of bookkeeping and financial processes.
- Customer service-oriented approach.
- Ability to adapt and be a team player.
